Before the project officially starts, ThrivePass holds a kickoff meeting to align all parties on the project plan, benefits design, and key features to be implemented. During this meeting, the project timeline is reviewed, and regular status update calls are established to maintain momentum and address any issues early in the process. For clients using Single Sign-On (SSO) for system access, the setup and integration process is initiated well before the go-live date, ensuring everything is prepared in advance.

2. Financial Accuracy: Streamlining Banking Setup

Another critical component of the implementation process is ensuring financial accuracy through the setup of banking processes for benefit funding, claim payments, and premium remittance. Clients are guided through completing the necessary banking forms, and ACH Pre-Notes are tested with the designated bank to confirm all transactions will be processed smoothly and without delay.

For clients utilizing EDI files, the necessary file specifications are provided, client-specific information is updated, and rigorous testing is conducted to guarantee all data exchanges are accurate and secure. Once approved, files go into production, ensuring the benefits system operates smoothly in an automated fashion with no administrative burden needed to maintain and update data in multiple systems.

7. Preparing for Transition: Employee Communications

New member login and registration emails are prepared to ensure employees can easily access the new system. 9. Finalizing the Launch: Plan Go-Live

As the go-live date approaches, the final steps are coordinated to ensure a smooth transition. This includes gathering and reporting information for the upcoming effective date and confirming all systems are ready for launch. After the plan goes live, continued support is provided to address any post-launch issues, ensuring a smooth transition to ongoing service. To foster continuous improvement, an implementation survey is conducted with the client to capture insights and opportunities for future enhancements.
